Records & Registration Improvements for Timely Graduation

Contributed by Stella Turk

Records & Registration implemented improvements in 2018 so that undergraduate students received timely information about graduation readiness. This resulted in reduced graduation deficiencies for students cleared for graduation two months before their December graduation date. In fall of 2018, there was a 25% reduction in undergraduate graduation deficiencies with a decline from 336 students in 2017 to 253 students in 2018. In addition, there was a 30% reduction in graduate deficiencies with a drop from 192 students in 2017 to 134 students in 2018.

Records & Registration provided students with well-timed information to reduce deficiencies by:

  • Sending an email summary during the course add/drop period to undergraduate students with a graduation term of September 2018 detailing outstanding degree requirements, which allowed students to make schedule changes to reduce deficiencies.
  • Sending several email communications to students and advisors about amending the plan of study, if requirements changed.
  • Implementing a revised plan amendment and transfer credit workflow that was easier for advisors to use.

These actions are expected to continue improvement in the reduction of graduation deficiencies in years to come.
